19. Checklist & Complete Pay run by using Payroll Management​

1. INTRODUCTION #

Following is the Checklist for a successful Pay run.

2. CHECKLIST BEFORE A PAY RUN #

2.1 PROCESS STEPS #

2.1.1   APPLY LEAVES #

Step 1: The first step for a successful Pay run is to make sure that the employee leaves are approved in the system.

2.1.2   TERMINATIONS #

Step 2: Terminate the Employees that are to be terminated in that Pay run.

Go to Human resource module and click Employees under Workers.

Human resources>Workers>Employees

 

Step 3: From the list of all employees, click the specific worker that is to be terminated.

 

 

Step 4: On action pane, click “Terminate” under Worker tab.

 

 

Step 5: A new window with name “Terminate workers” will open. Under Details tab, select “Termination reason” from dropdown.

 

 

Step 6: Enter termination date in “Last day worked” tab.

 

 

Step 7: When “Last day worked” is selected, “Coverage end date” would be auto populated.

 

 

Step 8: Under “ETP Earning code” tab, select “Annual Leave balance” and “Lumpsum A” earning code and click forward arrow.

 

Now, click “Terminate” on bottom of the window and worker is now terminated.

2.1.3   PROCESS ATTENDANCE #

Step 9: Go to Payroll management under Workspaces in Payroll module and select the relevant pay period click OK and then Click Process attendance. A new window with the attendance summary of all the employees will open.

 

 

 

 

Step 10: Now, user can add overtime for the specific workers and can check and edit hours for the casual workers.

Click Save and close the page. The Process attendance line will be colored.

 

 

 

2.1.4   TRNASFER ATTENDANCE #

Step 11: Now, click Transfer attendance and the Transfer attendance line will be colored.

 

2.1.5   GENERATE EARNINGS #

Step 12: Next step is to click Generate Earnings and a new side form will open. Click OK and Earning statements are now Generated.

 

 

Step 13: If user wants to add Car allowance, Incentive or any other earning code to a worker, user will open the earning statement of specific worker and add the required line there. Now, add amount and rate and click Save.

 

2.1.6   RELEASE EARNINGS #

Step 14: Now go back to Payroll management and click Release Earnings. A new side form will open and click OK there.

 

2.1.7   GENERATE PAY STATEMENTS #

Step 15: Click Generate Pay. A new side form will open and click OK.

 

2.1.8   SUBMIT PAYMENTS #

Step 16: Click Submit Payments and a side form will open. Click OK there.

 

2.1.9   POST PAYMENTS #

Step 17: Now, click Post Payments and similarly, a side form will open. Click OK.

 

2.1.10    PAYMENT JOURNAL #

Step 18: Now, click Payment Journal and Payment Journal form will open.  Select the specific Journal and click Lines on action pane. Payment Journal lines will open.

 

Step 19: On Action pane, click Functions dropdown and then click Generate payments. A new side form will open, select Method of Payment and Bank account and Click OK. Confirm effective date then click OK. The Payment status would be changed from None to Sent.

 

 

 

Step 20: On Action pane, click Post dropdown and click Post. Now, Close the page.

 

2.1.11 GENERATE BANK FILE #

Step 21: After posting the Payment Journal, user can Generate Bank file by clicking “Generate bank file” on action pane.

 

Bank file will be downloaded, click Open file.

 

 

Note: If there is any worker whose BSB number or account number is missing in this file or the format of BSB number or account number is not correct then, the file will be rejected.

 

2.1.12 GENERATE ACCRUALS #

Step 22: Click Generate Accruals on Payroll management page. A side form will open and click OK.

2.1.13 SINGLE TOUCH PAYROLL-PAYRUN #

Step 23: On Action pane, click Single touch payroll-payrun and STP submission form will open. Select the specific file and click Submit on Action pane.

 

2.1.14 EMAIL PAYSLIP #

Step 24: On Payroll management page, click Email Pay slips on Action pane. User can Email pay slips to their workers.

 

2.1.15 UPDATE TERMINATION BATCH JOB #

Step 25: After finalizing a Pay run, user will go to “Update terminate worker end date” report. A side form will open and click OK there.

 

2.1.16    SUPER STREAM #

Step 26: Go to Super stream inquiry under Inquiry and reports. Select all the Super Inquiry reports that user wishes to download and click Download on Action pane.

 

 

Step 27: To submit Super stream file consisting of multiple workers. Go to OZEDI portal and sign in with credentials

 

Step 28: Then click “Go to Portal” in Action pane.

 

 

Step 29: Then click Test Upload and choose file from your PC. After choosing the file, click “Upload”

 

 

Step 30: After uploading user will receive a message of successfully uploading the file.

 

 

Step 31: Click Close and user can view the status of Super stream file uploaded.
